Job Overview
We are seeking a dynamic and highly organized Legal Receptionist to join our professional team. This vital role serves as the first point of contact for clients, visitors, and staff, ensuring a welcoming and efficient front desk operation. The ideal candidate will possess excellent communication skills, a strong sense of organization, and the ability to manage multiple tasks seamlessly. Duties

  • Greet clients, visitors, and staff warmly, providing exceptional customer service and maintaining a professional demeanor at all times
  • Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when necessary
  • Schedule appointments, coordinate calendar management, and organize meetings for attorneys and staff
  • Maintain front desk operations including filing, data entry, document proofreading, and handling correspondence
  • Utilize office management software such as Microsoft Office and Google Workspace to prepare documents, reports, and presentations
  • Support administrative tasks and general clerical duties to ensure smooth office workflow
  • Assist with office supply inventory management and ensure the reception area remains tidy and welcoming

Requirements

  • Proven experience in office management or administrative support within a legal or professional environment
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and filing systems
  • Excellent phone etiquette with experience managing multi-line phone systems in a busy setting
  • Bilingual (English/ Spanish)abilities are highly desirable to serve diverse client needs effectively
  • Exceptional organizational skills with keen attention to detail for proofreading and document accuracy
  • Prior experience as a receptionist or personal assistant is preferred
  • Knowledge of clerical procedures including calendar management, time management, and record keeping
  • Ability to handle confidential information discreetly while demonstrating professionalism at all times
