The Mail and Dock Assistant is responsible for daily shipping and receiving duties, sorting, and distributing mail for all departments on campus. This position will utilize current technologies to process all inbound and outbound domestic and international mail pieces and parcels. This position is responsible to the assigned administrator and has a support responsibility to all other departments as necessary.

Essential Duties and Responsibilities:
  • Correctly unload, inspect, record, sort and distribute all inbound mail and packages received by the college.
  • Effectively process and calculate costs for outbound mail and domestic and international packages for shipment.
  • Adequately pack merchandise/materials and maintain accurate records of outgoing shipments.
  • Collect, sort, and distribute mail and packages for all campus departments.
  • Complete all necessary documentation including any inbound and outbound tracking audits, cost assessment reports, verification of account balances for personal orders and required forms.
  • Effectively and professionally interact with all vendors, students, faculty, and staff.
  • Deliver deposits to bank as scheduled; courier items as needed by the college.
  • Safely transport campus mail to and from U.S. Post Office.
  • Maintain inventory of materials and supplies.
  • Maintain cleanliness and organization of facilities.
  • Maintain knowledge on current on new mail/shipping technologies and compliance with domestic and overseas regulations and policies.

  • Perform other duties as assigned.


Minimum Qualifications:
  • High school diploma or equivalent with one year of shipping/receiving or mail service experience and/or training with mail services/shipping and receiving-based software or equivalent combination or education and experience
  • Ability to perform assigned duties with time pressures and frequent interruptions.
  • Strong sense of time organization and urgency.
  • Ability to utilize general office equipment, automated mail/package processing equipment, personal computer and various software packages.
  • Ability to safely operate a pallet jack.
  • Ability to read and interpret documents such as operating and maintenance instructions, procedure manuals, safety rules and shipment/mail related information.
  • Ability to perform basic mathematical calculations.
  • Ability to occasionally lift up to 50 pounds.
  • Ability to be insured; must have valid driver's license.
  • Ability to work independently and within a team.
  • Ability to communicate effectively.
  • Ability to work various hours as job requires.

Desired Qualifications:
  • 2+ years of shipping/receiving or mail service experience and/or training with mail services/shipping & receiving based software.

Physical Requirements and Work Environment:
  • Generally, performs work in a ventilated, lighted, dock setting or mail room. Will be exposed to local driving/traffic conditions and extreme weather conditions.
  • Frequent need to stand, stoop, walk, sit, lift heavy objects (in excess of 50 pounds) and perform other similar actions during the workday.
