What you’ll be doing

As our Office Coordinator, you’ll play a key role in keeping our office environment running efficiently. No two days are the same — you’ll manage reception, support events, keep facilities in top shape, and make sure colleagues and visitors feel supported.

Key Responsibilities includes:

Reception & Visitor Management

  • Providing a warm, professional welcome to all visitors
  • Managing sign‑in processes and ensuring safety procedures are followed
  • Handling incoming calls and general enquiries with confidence
  • Ensuring reception cover during the early part of the day

Post, Deliveries & Supplies

  • Managing all incoming and outgoing post, parcels, and courier deliveries
  • Overseeing office supplies, stationery orders, and stock levels

Meeting Room & Facilities Coordination

  • Managing meeting room bookings, setups, and equipment
  • Preparing refreshments and layouts for meetings and events
  • Liaising with contractors and facilities providers to maintain a safe, tidy environment

Events & Conference Support

  • Organising internal/external events, conferences, and onsite meetings
  • Supporting with catering, materials, travel, and logistics
  • Flexibility to assist with early starts or late finishes on event days

Access, Parking & Fleet Management

  • Coordinating building access, visitor passes, and car park allocations
  • Managing bookings, servicing and administration for company fleet vehicles

What we're looking for:

We’re looking for someone who is:

Experienced in reception, facilities coordination, or administrative roles

Confident, friendly, and customer‑focused

Highly organised with strong attention to detail

Able to multitask and stay calm under pressure

Proficient with Microsoft Office (experience with booking/facilities systems is a bonus)

Reliable, flexible, and always willing to support colleagues

Additional information

Location: Leeds
Working Pattern: Part‑Time, Office‑Based (flexible hours with early‑day coverage required)
Hours per week : 30 hours per week
